Access steps

The steps below should be completed by someone who will be fulfilling a safety role on the IRIS system:

  1. Identify the IRIS user roles required for the user 
  2. Undertake the required training for the user role 
  3. Request a user account be created on IRIS 

Amending a user's access on IRIS

To amend a user's access on IRIS or to request other changes to the system, please use the IRIS self-service requests.

 

Identify the IRIS user role(s) required for the user

The user roles on IRIS are based on existing health and safety roles that are delegated to members of a department by a Head of Department on their Statement of Safety Organisation. 

It is worth noting the following:

  • Users can be assigned multiple user roles on IRIS e.g. departmental safety officer and fire officer
  • More than one person can be assigned to the same user role for a department (to eliminate single points of failure)
  • IRIS user roles can be fulfilled by those who are not existing safety officers

IRIS user role Responsibilities on IRIS
Departmental Safety Officer
  • Conduct reviews (alongside a relevant supervisor) of any incident logged on IRIS in their assigned department
  • Record the findings of these reviews on IRIS
  • Complete statutory classifications of incidents in their assigned department
  • Assign and manage remedial actions identified as a result of those reviews
Fire Officer
  • Provide input to any reviews of fire-related incidents on IRIS
Biological Officer
  • Provide input to any reviews of biological-related incidents on IRIS
Radiation Protection Supervisor
  • Provide input to any reviews of ionising radiation-related incidents on IRIS
Area/Divisional Safety Officer
  • Oversee Departmental Safety Officer activities on IRIS
  • Be notified of the most serious incident types
  • Conduct formal investigations of these serious incident types
  • Record the findings of these investigations on IRIS
  • Assign and manage remedial actions identified as a result of those investigations
University Safety Officer
  • Oversee all activities on IRIS
  • Be notified of the most serious incident types
  • Conduct formal investigations of these serious incident types
  • Record the findings of these investigations on IRIS
  • Assign and manage remedial actions identified as a result of those investigations
  • Complete statutory reporting to enforcement bodies
Supervisor
  • Conduct reviews (alongside the Departmental Safety Officer) of any incident logged on IRIS in their assigned department
Read-only access
  • Have visibility of incidents recorded against their department(s)
  • For information purposes only
